Educator Guide: Workshop Resource Areas & Group Management

Why We’ve Introduced the Resource Area System

We’ve created Workshop Resource Areas to simplify and automate a number of processes that were previously manual, fragmented, and time-consuming.

This system is designed to:

  • Reduce administrative workload for educators and the Dalton team
  • Ensure compliance with state board requirements by securely storing documentation (waivers, evaluations, certificates) for up to 7 years
  • Centralize all participant information in one place
  • Improve the participant experience with a clear, guided workflow
  • Automatically track progress toward MMT certification
  • Report student feedback by compiling and analyzing evaluation forms.
  • Eliminate manual certificate handling at workshops

In short, this system replaces paper forms, scattered emails, and manual tracking with a streamlined, automated process that works in real time.

Overview: What Participants (and You) Will See

When participants log in, they’ll access their My Courses area, where workshops now appear as Resource Areas. Each Resource Area includes:
  1. Guided Workflow

  • Participants move step-by-step through the resource using a simple “Mark Complete” process. This ensures they’ve reviewed all required materials.
  • A progress bar shows how far they’ve gone.
  1. Key Sections Inside the Resource Area

  • Welcome / Orientation
  • Participant Waiver (Required)
  • Workshop Logistics & Educator Introduction
  • Participant Guidelines
  • Explore MAT (articles + context for your workshop)
  • Certificate Instructions
  1. Waivers (Now Fully Automated)

  • Completed online before or during the workshop
  • Stored securely and centrally
  • No paper handling required
  1. Evaluations (No More Paper Forms)

  • Available at the end of the workshop only
  • Submitted digitally
  • Automatically compiled into reports and shared with you
  1. Certificates of Completion (No More Paper Certificates)

  • No physical certificates at the workshop
  • Automatically generated after:
    • Resource Area is completed
    • Evaluation is submitted
  • Participants access and print certificates (PDF) directly from their account and can update their name and add their license number themselves.
  • A large “Print your certificate” button will appear on their Workshop Resource homepage. If it does not appear it’s because they have not marked all lessons and topics complete. The progress bar must be at 100% and all lessons and topics must have a checkmark.

Group Management

You now have access to a Group Management Dashboard where you can view and manage your workshop participants.

How to Access

What You’ll See

Your Workshop Groups

  • Each workshop you teach appears as a group
  • If you teach multiple workshops, you’ll see a dropdown to switch between them

Real-Time Participant List

  • View all registered participants as they sign up
  • Sort by:
    • First name
    • Last name
    • Email

Individual Participant Details

Click on a participant to see:

  • Progress through the Resource Area
  • Completion status (Not Started / In Progress / Completed)
  • Whether key steps (like waivers) are completed
  • A list of all courses and workshops they have purchased and their progress or completion of those courses or workshops.

Direct Communication

  • Click a participant’s email to contact them individually
  • (Coming soon) Send messages to the entire group from within the platform

What This Replaces

This system eliminates the need for:

  • Sending participant lists manually
  • Sharing receipts individually
  • Printing and distributing certificates
  • Collecting paper waivers and evaluations
  • Manually tracking attendance and completion

You now have one place to see everything.

What’s Coming Soon

We’ll be adding:

  • Waiver completion reports (view all waivers at once)
  • Group email functionality (message your entire workshop group)
  • Additional reporting tools to give you faster visibility into participant progress

Certificates: Participant Self-Service

Participants can now update their own certificate information without contacting support.

Updating Name or Email

  1. Log in
  2. Click the menu (top right “hamburger” icon)
  3. Go to Account Settings → Account Details
  4. Update display name (this is what appears on certificates)
  5. Save changes

This will update all certificates, including past ones.

Adding a License Number

  • Log in
  • Click the menu (top right “hamburger” icon)
  • Go to Account Settings → Therapist Directory
  • Participants enter their information in the license number field
  • They will also have to fill in any required fields
  • Once saved, their license number is automatically applied to certificates

Note: This is only temporary. In the near future they will be able to change their license number in the Account Details page where they update their name.

What You Need to Do

Very little.

  • Direct participants to log in and complete their Resource Area
  • Use the Group Management dashboard to monitor attendance and progress
  • Communicate with participants as needed

That’s it. The system handles the rest.

Final Thoughts

This is a meaningful shift in how we manage workshops. It reduces friction across the board and gives you real-time visibility without extra effort.

Once you’ve used it once or twice, it should feel a lot lighter than the old way.
